1. About this policy

This policy explains what information we collect, why we collect it, and how we protect it. It covers our website, addmatrix.com, and AddMatrix – Seller Growth OS, our tool that audits Amazon advertising for sellers and agencies.

We are AddMatrix Bizsol Pvt Ltd (“addMatrix”, “we” or “us”), an Amazon marketing agency in Pune, India. Our full contact details are at the end of this policy.

  • Your own information (your account, your messages to us and your visits to our website): we decide how it is used. Under India’s data protection law, the DPDP Act, 2023, this makes us its “Data Fiduciary”.
  • Advertising data in AddMatrix – Seller Growth OS, and the changes it makes in your Amazon Ads account: you decide what goes in, which automations run and what they are for, and we only process it for you. If you work in someone else’s workspace, send requests about that data to them. We pass on any requests we receive. Businesses can ask us for a data processing agreement.
  • Agency clients: when we manage your Amazon account for you, our agreement with you covers that work. This policy covers the information about your staff that we handle.

Only upload information about other people if you are allowed to. This policy does not replace Amazon’s own privacy notices and policies.

2. What we collect

  • On our website: your IP address, device and browser, the pages you visit, and which ad or link brought you there. Google Analytics, Google Ads and the Meta Pixel collect this (see Cookies below). Google reCAPTCHA checks that people filling in our forms are not bots.
  • When you contact us: what you type in our forms (name, work email, phone, brand, marketplace and message), newsletter sign-ups, meetings booked through Calendly, WhatsApp chats, and job applications sent through Zoho Recruit. We keep your messages and our replies so we can help you.
  • Your AddMatrix – Seller Growth OS account: your email address and password. Your organization’s name, and each seller account’s name, marketplace, currency and time zone. Your audit settings. A record of who uploaded, ran or approved what, and when. Your password goes straight to our sign-in provider, which stores it in scrambled form, so we never see it. We do not ask for your name, phone number or card details.
  • Reports you upload: Amazon Sponsored Products reports (Search Term, Campaign, Advertised Product and Placement). We keep only the columns our audit needs: campaigns, ad groups, keywords, search terms, products (SKUs and ASINs), placements, budgets, bids, and results such as clicks, spend, sales and orders. We keep the file’s name, but not the file itself. If a row fails our checks, we keep the value that failed so you can fix it. These reports contain no shopper names, addresses or orders.
  • If you connect your Amazon Ads account (coming soon): you log in on Amazon’s own page, so we never see your Amazon password. Amazon shows us the ad accounts you manage (name, ID, type, marketplace, currency and time zone), and you choose which ones to bring in. For those only, we fetch your advertising reports, including hourly results if you use hourly bidding, and your campaign setup: campaigns, ad groups, keywords, product targets, negative keywords, bids, budgets and placement settings. This covers Sponsored Products, Sponsored Brands and Sponsored Display. We never get your Amazon name, email address or postal code, or any shopper data. Amazon gives us a digital key to use your account (a “refresh token”), which we store encrypted.
  • Changes made in your Amazon account (coming soon): a record of every change AddMatrix – Seller Growth OS makes or you approve. It shows what changed, the old and new value, when, and which automation or person made it.
  • When you use AddMatrix – Seller Growth OS: our servers record your IP address, browser, what you did and when you signed in. We use this to run the service, keep it secure, stop abuse and fix errors. AddMatrix – Seller Growth OS has no analytics or advertising trackers.

3. How we use it

We use your information only for these purposes:

  • To answer you: replying to enquiries, booking meetings and reviewing job applications, because you asked us to.
  • To send our newsletter, with your consent. You can unsubscribe at any time.
  • To improve our website and measure our ads, with your consent where the law requires it.
  • To run AddMatrix – Seller Growth OS: signing you in, making sure only your organization sees its data, producing your audits and downloads, and sending service emails such as password resets and a reminder before your Amazon connection expires. We need this to provide the service.
  • To connect to Amazon, with the permission you give on Amazon’s page.
  • To run the automations you switch on (coming soon): changing bids, budgets, keywords, negative keywords, placement and hour-of-day settings in your Amazon Ads account, and creating the campaigns you ask for, because you instructed us to.
  • To keep things safe and legal: stopping spam and abuse, investigating security problems and meeting our legal duties.

You can withdraw your consent at any time by emailing us. We never sell your data. We never use AddMatrix – Seller Growth OS data to aim ads at people, to profile people, or for our own marketing, and none of it goes to Google, Meta or any other marketing tool. We never show one customer’s data to another, or combine customers’ data. The “typical account” comparison in audits uses a fixed benchmark ACOS, not other customers’ data.

4. How our recommendations and automations work

  • Rules, not AI. Audits and automations follow fixed rules and formulas. For example, a search term is flagged when it reaches the clicks and spend you set without getting an order. A keyword’s bid is based on its conversion rate, your target ACOS and its average sale price. When a keyword has little data, we use results from similar keywords until it has enough of its own.
  • No AI companies. We don’t send your data to any AI provider. If that ever changes, we will update this policy first.
  • Automations (coming soon). AddMatrix – Seller Growth OS can manage your campaigns for you. Every day it can adjust bids toward your target ACOS, and lower bids on keywords that get clicks but no orders. It can add converting search terms as keywords and wasteful ones as negative keywords. It can also move budget between campaigns, set bid adjustments by placement and hour of day, and create the campaigns you ask for.
  • You stay in control. Automations are off until an owner of your organization switches them on, for each seller account. They work only within the settings you choose, such as your target ACOS, maximum bid and budget. You can set your own bid for any keyword, and pause or switch off any automation at any time. Every change is recorded, and you can see it in AddMatrix – Seller Growth OS and in your Amazon Ads console. Without an automation switched on, approving a recommendation only records your decision, and nothing changes in your Amazon account.
  • About campaigns, not people. Recommendations and automated changes are about campaigns and products, not people. They are based on past results, and we cannot guarantee future results.

5. Our promises about Amazon data

“Amazon data” means data we get from Amazon, or from Amazon reports you upload. We follow Amazon’s rules for it (the Amazon Ads Partner Network Policies). We promise to:

  • Use it only to provide AddMatrix – Seller Growth OS to the advertiser it belongs to, and only with their express, verifiable permission.
  • Take only what the service needs. We change your campaigns only through the automations you switch on or the changes you approve, and for no other purpose.
  • Never use it to aim ads at people based on their interests, for retargeting, or for our own marketing.
  • Never use it to discriminate, to track or profile people, or to work out who someone is.
  • Never sell, rent, share or publish it, or make money from it outside the service. Only our service providers receive it, under confidentiality, and we tell Amazon who they are.
  • Never combine it with data from other companies unless Amazon agrees in writing.
  • Let only your organization’s members see it. At addMatrix, only the people who run the service can access it, and only when their work needs it.
  • Never ask for your Amazon login details. We share our own Amazon access keys only with our service providers, under confidentiality, where the service needs it.
  • Keep it only as long as the service needs it. We delete it after 24 months at most, sooner if you ask, and straight away if Amazon asks or our agreement with Amazon ends. If the law makes us keep something, we use it only for that and delete it afterwards.
  • Tell you clearly what Amazon data we use and why, help Amazon check that we follow its rules, cooperate with any Amazon investigation, and report problems as described in section 10.

6. Who we share it with

We share information only with companies that help us run our website and AddMatrix – Seller Growth OS. They must keep it confidential and use it only to work for us. We update this list before any new company receives AddMatrix – Seller Growth OS customer data.

For AddMatrix – Seller Growth OS:

  • Supabase, Inc.: our database, sign-in and account emails. It stores all AddMatrix – Seller Growth OS data in India (Amazon Web Services, Mumbai).
  • Hostinger (servers in India): runs our servers.

For our website (these never receive AddMatrix – Seller Growth OS data):

  • Hostinger (servers in India): hosts addmatrix.com and its forms.
  • Google (United States): Google Analytics, Google Ads and reCAPTCHA.
  • Meta (United States): the Meta Pixel and WhatsApp chat.
  • Calendly (United States): meeting booking.
  • Trustindex (European Union): shows our customer reviews.
  • Zoho (India): our email, including messages from our website forms, and our careers portal.

Google, Meta and Calendly also follow their own privacy policies for what their tools collect. Amazon is not one of our providers. It is your advertising platform, and you choose to let us read from it.

Some providers may handle information outside India, for example in the United States. Their contracts require them to protect it. Where UK or EU law requires extra safeguards, such as Standard Contractual Clauses, we put them in place and can give you a copy.

We may also share information:

  • with our lawyers and auditors, who must keep it confidential;
  • with a buyer of our business. We will tell you first, the buyer must keep these promises, and Amazon data moves only if Amazon allows it;
  • with authorities when the law requires it. We share only what is required, and tell affected customers unless we are not allowed to;
  • to protect someone’s safety or rights.

7. How long we keep it

  • Advertising reports and audits: 24 months, then deleted automatically. You can delete them sooner. An audit keeps its findings even if you delete the report it came from.
  • Change history (coming soon): 24 months, then deleted automatically.
  • Uploaded files: not kept at all.
  • Amazon connection keys: the long-term key until you disconnect, Amazon cancels it, or it expires after 365 days. Short-term keys are never stored and last at most 60 minutes.
  • Your account and settings: until you close your account.
  • Enquiries, emails and chats: until resolved, and never more than 3 years after we last spoke.
  • Newsletter: until you unsubscribe.
  • Website analytics: 2 months, then Google Analytics deletes the detailed visit data.
  • Job applications: 12 months after the hiring decision.
  • AddMatrix – Seller Growth OS server and sign-in logs, including IP addresses: up to 30 days.
  • Backups: we don’t keep any today, so deleted data is gone at once. If we add backups, deleted data could stay in them for up to 7 days. We would use them only to recover from a failure, and after a restore we would delete again anything that had been deleted.

When you close your account, or we stop providing the service to you, we delete your login and all remaining data promptly, unless the law requires us to keep something. On request, we confirm the deletion in writing.

8. Your choices and rights

  • Delete data yourself: delete one upload in Report Uploads, or a whole seller account in Settings. Deleting a seller account removes all its reports, audits and settings at once, and cannot be undone. Only an owner of the organization can do it.
  • Disconnect Amazon at any time: in the Amazon Ads console (Access and settings, then Third-party applications), on Amazon (Your Account, then Manage your data, then Manage apps & services with data access), or by emailing madhav@addmatrix.com. If you email us, we disconnect it and delete the stored key. Disconnecting stops all automations and does not undo changes already made in your Amazon account. Data already in AddMatrix – Seller Growth OS stays until it is 24 months old or you delete it.
  • Switch off automations (coming soon): pause or switch off any automation at any time in Settings. Changes already made stay in your Amazon account until you change them.
  • Close your account: email madhav@addmatrix.com from the address you sign in with. We check it’s really you, then delete everything as described in section 7.
  • Download your data: export your audit results as CSV files from Exports at any time.
  • Unsubscribe: every newsletter has an unsubscribe link.

You also have these rights, including under India’s DPDP Act, 2023:

  • to see what personal data we hold about you, and get a copy;
  • to have it corrected, completed or deleted;
  • to object to or limit how we use it, where the law allows;
  • to withdraw your consent, as easily as you gave it;
  • to name someone to use these rights for you if you die or cannot act;
  • to complain to our Grievance Officer, to the Data Protection Board of India, or to the data protection authority where you live.

To use any right, email madhav@addmatrix.com. We confirm we’ve received your request and reply as soon as we can. It’s free. We may check your identity, and use those details only for that. When the law requires, we also pass corrections and deletions on to anyone we shared the data with.

9. How we keep it safe

  • All connections use encryption (HTTPS), and our database is encrypted.
  • Only signed-in members of your organization can see its data. We check this on every request, and the database has its own locks too.
  • Our secret keys, including our Amazon key, stay on our servers and never reach your browser. Amazon connection keys are stored encrypted. When you connect Amazon, a one-time code makes sure nobody else’s Amazon account can be attached to yours.
  • We protect our pages against common web attacks, limit how many requests anyone can make, and keep passwords, keys and report contents out of our logs.
  • Only organization owners can switch on automations or delete a seller account. We check every row you import, so bad data can’t quietly change an audit.

We don’t yet have outside security certifications (such as SOC 2 or ISO 27001), and two-step sign-in isn’t available yet. No system is completely safe. If something goes wrong, we follow the steps in section 10.

10. Reporting a problem

Anyone can tell us about a security or privacy problem, or a suspected misuse of Amazon data. This is how we handle it.

  • How to report: email madhav@addmatrix.com. Tell us what you found, where, how to repeat it, and how to reach you. If data may have been misused, say so in the subject line and we will act on it immediately.
  • What we do: we confirm we’ve received your report, look into it, and keep you updated until it’s resolved. Serious problems are fixed as fast as it is safe to do. We record and track every report, and tell you if we decide not to fix something.
  • Rules for testing: this covers addmatrix.com and AddMatrix – Seller Growth OS, not other companies’ services. Test only with your own account. Don’t access or keep other people’s data, don’t trick our staff, and don’t overload or disrupt our services. Give us time to fix a problem (we suggest 90 days) before going public. If you follow these rules in good faith, we won’t take legal action against you. We don’t pay rewards.
  • If data is affected: we stop the problem, investigate and record what happened. We tell affected customers promptly. If Amazon data is involved, we tell Amazon and help its investigation. Where Indian law requires, we report to CERT-In, India’s cyber security agency, and tell the Data Protection Board of India and the people affected.

11. Cookies

Cookies are small files a website saves in your browser. AddMatrix – Seller Growth OS only uses cookies that keep you signed in. It has no analytics, advertising or tracking cookies.

Our website uses:

  • Security cookies (Google reCAPTCHA) to keep spam out of our forms, for up to 6 months.
  • Analytics cookies (Google Analytics) to see how people use the website, for up to 2 years.
  • Advertising cookies (Google Ads and the Meta Pixel) to see whether our ads lead to enquiries, for up to 90 days.
  • Chat and review widgets (WhatsApp and our customer reviews), for as long as those providers set.

Only the security cookies are needed for our forms to work. The rest are optional, and you can block or delete them in your browser settings.

12. Other things to know

  • Children: our website and service are for businesses, not children. We don’t knowingly collect information about anyone under 18. If you think we have, email madhav@addmatrix.com and we will delete it.
  • Amazon and other websites: Amazon has its own terms and privacy policy, and is not responsible for ours. Our Amazon connection follows Amazon’s agreements and rules. Websites we link to, such as Calendly, WhatsApp and Zoho Recruit, have their own policies.
  • Changes to this policy: when we change it, we update the date at the top. If an important change affects how we use data we already hold, we email AddMatrix – Seller Growth OS users before it takes effect.
